2) What this policy covers
This policy explains how we collect, use, store and share personal data when you:
- visit our website,
- create an account and use Relauna,
- configure call forwarding and view activity in Calls Tracker, or
- contact support.
3) Personal data we collect
A) Business user account and billing data
- Name (if provided), email address, and login details.
- Password stored as a secure hash (we do not store plaintext passwords).
- Subscription status and billing identifiers (e.g. Stripe customer/subscription IDs).
B) Business setup data
- Business name.
- Your business phone number and your assigned Relauna number.
- Any setup fields you provide (e.g. device/carrier info if used).
C) Caller, call and SMS service data
When your callers contact your Relauna number, we may process:
- Caller phone number and recipient number.
- Call timestamps and system identifiers (e.g. Call SID).
- Outbound SMS we send and inbound SMS replies we receive.
- Details provided by the caller in replies (e.g. callback slot choice, postcode, name, and the issue).
- Message identifiers (e.g. Message SID).
D) Website usage data
- IP address, device/browser details, pages visited and approximate location from IP.
- Cookie identifiers (see Cookies section).
4) How we use personal data
- To provide the service — Create and display leads, send/receive SMS, maintain Calls Tracker. Lawful basis: Contract.
- To operate accounts and billing — Subscriptions and payments. Lawful basis: Contract and legal obligation.
- To provide support and troubleshoot — Respond to support requests, investigate errors. Lawful basis: Contract and legitimate interests.
- Security and fraud prevention — Protect the platform and users. Lawful basis: Legitimate interests.
5) Caller SMS and opt-out
Our automated SMS sent after a missed call is intended as a service message to help the caller book a callback slot. We include opt-out instructions (e.g. "STOP") and will suppress further automated messages to a number where applicable.
7) International transfers
Some providers may process data outside the UK. Where required, appropriate safeguards are used (for example, contractual protections provided by vendors).
8) Retention
We keep data only as long as necessary:
- Account data: while your account is active, then up to 24 months after closure.
- Calls/SMS logs & leads: 12 months by default, then deleted/anonymised unless needed for a dispute.
- Billing records: 6 years (typical accounting/tax retention).
9) Your rights
Depending on your situation, you may have rights to access, correct, delete, restrict or object to processing, and (in some cases) data portability. To make a request, email support@relauna.com with subject PRIVACY.
You also have the right to complain to the UK Information Commissioner's Office (ICO).
10) Security
We use appropriate technical and organisational measures to protect personal data (access controls, encrypted connections, and least-privilege access). No system is 100% secure, but we take security seriously.
12) Children
Relauna is not directed at children and we do not knowingly collect children's data.
13) Changes to this policy
We may update this policy from time to time. We will post the updated version on this page and update the "Last updated" date.
